Your Mission

Key Objectives:

  • The Facilities Associate is vital in ensuring the smooth operation of administrative tasks and facility management.
  • This role requires careful coordination, attention to detail, and the ability to handle multiple responsibilities efficiently.
  • The ideal candidate will support office services, good with reception management, courier and delivery management as well as coordinating for internal events.
  • He is responsible for administrations, facility management, Vendor Liaoning, Safety (Fire Alarm system) and strategic facility planning include large scale end to-end facility setup (from final design and implementation).
  • Manage large scale strategic facility setup and expansion initiatives based on business requirement, ensuring the overall program delivery to the appropriate quality, time and budget.
  • A strong communicator with exceptional skills in verbal communication, a strong negotiator, and a candidate with solid proven experience in handling external vendors .
  • Manage and track SLAs, KPIs and develop project status reports as and when required.
  • Oversee timely closure of employee concerns and requests pertaining to facilities.
  • Manage Administration budget and preparation of MIS, ensure cost optimization without compromising on quality .
  • Identify cost optimization opportunities in direct materials procurement, engineered/designed goods, inventory management, shop-floor practices, contracts/services procurement & administration without compromising quality.
  • Provide reports to management on a regular basis on the activities managed and cost improvement initiatives.
  • Manage end to end contracts from RFP/RFI/RFQ development, SOW creation to due-diligence and commercial negotiations (in coordination with the procurement and legal teams) with new vendors.
  • Monitor vendors and service provider's performance regularly to ensure quality of service/ delivery within specified timelines .
  • Develop SOPs for all facility and administration related activities (like employee/vendor/visitor entry, housekeeping process, security response etc.)
  • Ensure all facility staff adheres to the policies, processes and procedures laid down by the admin department.
  • Ensure monitored safe usage of all office equipment, maintenance of fire safety equipment, implementation of corrective and planned preventive maintenance schedules.
  • Ensure effective risk management process is in place e.g., Fire, statutory compliances, Electrical Inspections etc.
  • Ensure compliance with labor laws, health, safety, security, and environment (HSSE) and vendor trainings.
  • Supervise the development of health and safety policy for the center. Ensure the warehouse meets health and safety requirements.

Your Mission

Puma Indonesia is looking for self-driven, motivated, and detail-oriented Operations person. Skilled in managing our 3PL for outbound and last mile delivery with extraordinary communication skills strong attention to accuracy, and ability to work under pressure. Ability to manage daily business operations, with minimum supervision.

Task 1: Outbound (B2B & B2C)

  • Evaluate daily outbound capacity through coordinating with sales and retails and other relevant parties. 

  • Evaluate Warehouse day to day picking, packing efficiency and also order accuracy.  

  • Responsible to monitoring warehouse order fulfillment: 

  • Monitoring daily order 

  • Monitoring the delivery status 

  • Monitoring POD status in SharePoint (cloud) 

  • Maintain Delivery Summary Reports 

Task 2: Inbound and Returns:

  • Working with Inbound team as well as others party in order to make sure inbound import/L4L arrival at Warehouse 

  • Evaluate daily inbound capacity base on forecast, and work with stakeholder for any capacity addition and/or improvements 

  • Duty input execution in ME22 (Checking the Duty in Value IDR , qty, Description,PO , -> Make sure qty tally with PIB and invoice) 

  • Conducting and ensuring timely GR execute process 

  • Responsible to monitor Warehouse inbound receiving: 

  • Monitor progress of inbound receiving 

  • Monitor and maintain Inbound Report  

  • Responsible for returns management 

  • Work with stakeholders for any product return discrepancies or variances. 

  • Monitor the progress of scanning returns  

  • Ensure returns receiving process as per timeline. 

  • Monitor the segregation of products 

  • Maintain the Return Summary Reports

Task 3: Inventory Management (B2B & B2C) 

  • Ensure the integrity of inventory accuracy and manage stock movements with the help of direct reports. 

  • Resolve any inventory discrepancies and ensure inventory and system records are in agreement. 

  • Keep track and manage all product base on the storage location position as well as the movement (such as slow moving, obsoleted stock, EOL, etc.) 

  • Liaise with warehouse for any excess or shortage inventory. 

  • Manage and work with others function for any inventory adjustment.

 Task 4: Last Mile Delivery (B2B & B2C) 

 

  • Track Daily availability of trucks  

  • Coordinate w/ the internal team if there are changes in the delivery schedule. 

  • Manage transporter to ensure timely delivery and meet customer requirement 

  • Track and monitor Daily Loading Schedule 

  • Address any issues that internal or external customers may have both with individual driver, missing/discrepancies product, late arrival and any other cases. 

  • Manage and ensure on time POD return.

Task 5: Reporting, Vendor Invoice submission and Support Task (B2B & B2C) 

  • On time reports, forecast based on the agreed monthly schedule 

  • Conducts 12x cross functional review meetings with Wholesale and Retail (issues, performance, forecasts and upcoming sales and events and support market level operations and improvement inter-department communication.) 

  • Organizing the Documents Library for POD 

  • Maintain the digital documents library for audit purpose 

  • Coordinate with 3PL to obtain the necessary documents and store it on digital library 

  • Maintain the summary for the digital library 

  • Support all logistics ad hoc activities assigned by the supervisor. 

  • Procurement for Consumables 

  • Documentation and Filling 

  • Creation of Invoice and Packing List for Export Shipments.  

  • Responsible to follow up all 3PL invoices for payment processing  

  • Responsible to create PO for all vendors for payment processing 

  • Responsible to submit PO for approval to HOD and Submit to Finance. 

Task 6: Ad hoc 

  • Involve and support for any Warehouse projects 

  • Involve and support for any audit process (MoT, Customs, Tax, etc.)

Your Mission

  • Work cross functionally with various organizations including Product Management, R&D, Innovation, Operations & Sales to coordinate on-time development and delivery of new products. Meet all requirements for a successful global launch for assigned programs.
  • Create project schedules and critically analyze them throughout the actual project progress. Use this analysis to generate schedule scenarios to guide project teams in delivering product on time. Your Mission

Demand Planning:

  • Utilize a collaborative and consensus approach working with Sales, and Finance to obtain and ensure that current and accurate information is used for financial and demand forecasts.
  • Create, maintain, and report on a monthly US unit forecast for both stock and custom clubs beginning with product families and breaking it down to the SKU level.
  • Responsible for loading the forecast into the ERP system; ensuring load completeness and accuracy.
  • Facilitate gap analysis between Demand Plan and Revenue Plan
  • Communicate forecast uploads and forecast changes to buyer planners.
  • Responsible for managing the Global Forecasting Process. Create/update forecast templates quarterly. Partner with other international markets to generate forecast for each region.
  • Provide Sourcing Team, and all teir 1 suppliers the global forecast within the first week of each month.
  • Provide input and direction to the Supply Planning and Sourcing organizations on inventory strategies for new product launches, existing items, and product phase-outs/End of Life Process.
  • Monitor and report on trends in forecast accuracy
  • Lead monthly demand review meetings with Sales, Finance, and Buyer Planners

Business Analytics & Reporting

  • Analyze critical business results and provide key insights/observation on current state of business.
  • Publish Monthly KPI Analytics data. Creating regular reports and dashboards to communicate sales performance, identify improvement areas, and measure sales strategies' effectiveness.
  • Data Cleaning and Preparation: This involves filtering the data, handling missing values, and preparing the dataset for analysis to ensure accuracy and relevance.
  • Data Exploration and Analysis: Analysts use statistical tools and techniques to explore and analyze data, identifying patterns, relationships, and trends.
  • Data Visualization: They create visual representations of data findings through charts, graphs, and dashboards to make the data understandable.
  • Reporting: Data analysts prepare reports and presentations to communicate the insights and findings from the data to stakeholders, which can influence policy and decision-making processes
  • Support other reporting as requested.
