Your Mission
The Executive, Shipping is responsible for managing and optimizing the inbound logistics process, ensuring the timely and efficient receipt of goods. This role will oversee the smooth coordination of inbound shipments from the point of origin to the destination warehouse. Also involves payment reconciliation, discrepancy management, and real-time tracking of shipments.
Task 1: Shipment Coordination and Tracking (40%)
• Ensure all bookings are confirmed based on the Latest Confirmed Hand Over Date (LCHD) and align with the product launch plan.
•This role requires effective communication with forwarders, and brokers to ensure timely and cost-efficient deliveries.
• Update shipping status in real-time within the tracking file or ERP systems (e.g., SAP) to maintain accuracy and provide visibility to stakeholders.
Task 2: Inbound Delivery Management (20%)
• Create and/or modify inbound delivery notes for shipments, a small amount of export shipments involved.
• Collaborate with warehouse teams to ensure timely receipt and storage of goods.
• Proactively address and resolve any issues that may arise during the inbound process.
Task 3: Financial Reconciliation and Payment Processing (30%)
• Process and manage payment requests for purchase invoices, import duties, and shipping expenses.
• Liaise with finance teams to ensure all payments align with internal policies and timelines.
Task 4: Discrepancy Management (5%)
• Investigate and resolve discrepancies between purchase orders and goods received (PO vs. GR discrepancies).
• Coordinate with suppliers and warehouse teams to rectify issues in a timely and efficient manner.
• Implement root cause analysis for recurring discrepancies and recommend process improvements.
Task 5: Communication and Stakeholder Management (5%)
• Serve as the primary point of contact for forwarders, brokers, and internal departments (e.g., global logistics, purchasing, product team, warehouse, finance).
• Ensure effective communication across departments to facilitate smooth operations and mitigate potential delays or issues.
• Maintain good relationships with all logistics partners to improve service levels and optimize cost efficiency.
