Your Mission

The person will be fully responsible for all administrative P&O (HR) back-office processes and documentation along the employee lifecycle in the assigned area, ensuring the compliance with PUMA internal policies and labor law regulations.

People support:

  • Be a first point of contact for all administrative and operational questions, inquires and requests for managers and employees in the assigned area of ​​support
  • Provide support to the People & Organization Partners in supporting employees
  • Assist in employee engagement initiatives, e.g., employee opinion surveys, well-being initiatives, etc

Documentation and Administration:

  • Is fully responsible for accuracy and completeness of the employees' data
  • Prepare employment contracts, changes in the contracts, termination and exits according to internal policies and procedures
  • Advertise vacancies on the internal and external PUMA careers page and, if necessary, on external application portals (including translation of the job description and the requirement profile)
  • Manage and maintain employees's data in all respective P&O systems (Workday, payroll, etc) timely and flawless
  • Prepare and, maintain employees’ personnel file in compliance with the labor law. Ensure personnel data audit for highest degree of accuracy and completeness
  • Is responsible for registering employees in external government systems when required

Payroll and Reporting:

  • Actively interact with managers of the assigned area of support to ensure correct input data for the payroll (time sheets, bonus calculations, etc)
  • Timely prepare and provide accurate data for the payroll to ensure flowless payroll operations
  • Sign off payroll files as well as ensure the completeness of internal processes to ensure timely salary payments
  • Build and maintain effective relationship with payroll service providers
  • Prepare and provide accurate data for Headcount and FTE reports, provide data to internal stakeholder and government administration when requested

Other tasks and responsibilities:

  • Act as a back up for the P&O Business partner during vacation or absence in particular for documentation & administration of employees files'
  • Proactively suggest and implement improvement in the existing P&O processes and practices, aiming for better efficiency and moderation of HR practices
  • Active participation in ad hoc or special topics, when required
  • Jointly together with P&O partner support managers and employee to create and maintain "best place to be" working environment and atmosphere

Your Talent

  • At least 3 years of proven experience in HR administration and employee data management (employment contracts management, personnel files management, payroll inputs, etc)
  • Knowledge of local labour and compliance laws
  • Experience with any HRIS systems, ideally Workday
  • Strong MS office (word and excel) skills
  • Fluent Dutch  and English
  • Hands on, opened minded, team player and strong people/customer service attitude/mindset
  • Strong self-management and priority setting skills
  • Excellent communication skills and strong customer service affinity/mindset
  • Great attention to details and accuracy
