Your Mission

  • Greet PUMA visitors, employees and guests as they enter the office; ensuring they follow the outlined visitor policy. 
  • Participate in weekly new hire orientation by coordinating We Work badges, parking passes, staff pictures and new hire items as needed.
  • Schedule onsite and video interviews for candidates of the Boston office; coordinating calendars and drafting interview schedules; communication with candidates and hiring managers.
  • Coordinate with temp agencies and new temp starters by  ensuring they have access to We Work badges, discounts and Day 1 items. 
  • Support office gatherings and regional meetings with accounts as needed, coordinate meeting and event set up for internal groups per request.
  • Maintain excel database and coordinate with garage for employee parking transponders. 
  • Act as back up to the Mailroom/Facilities Coordinator as needed.  
  • Take inventory and order general office supplies for the Boston Office.
  • Assist in the development of the annual Boston Events calendar, do market research to ensure PUMA is offering creative employee perks, manage vendor relationships and adhere to budget outlined.  Schedule meetings and delegate tasks to employees/resources.
  • Manage the planning and execution of events (on occasion in partnership with We Work) such as: Boston Events such as city based running races, holiday parties, health and wellness benefits onsite for employees. 
  • Participate in Budget planning with PNA Finance; code office invoices in Finance system.
  • Assist in office reorganizations and moves
  • Keep visitor log for Corporate Apartment and be point of contact for guests, landlord.

Your Talent

  • HS diploma
  • Previous Retail, Concierge, Office Management, or Administrative experience a plus.
  • Experience working on Outlook email, calendar management systems.
  • Prior experience coordinating and executing events strongly preferred.
  • Highly organized with the ability to multi-task and manage competing priorities.
  • Strong written and verbal communication skills
  • Proven experience managing a front office, demonstrating an ability to be pleasant, professional using sound judgment in a business setting.
